Beyond Google Sheets - what actually works for an Aussie rowing shed

The honest answer in 30 seconds

Retire the Google Sheets generating the loudest weekly complaints first - the rack sign-out, the outing RSVP, the rower file, the lineup folder, the levy reconciliation tab - and leave anything that one person handles once a year exactly where it sits. Move fleet sign-out first because that is the file the Tuesday-night committee chat keeps relitigating. Then RSVPs. Then the rower roster. Pick a rowing-built platform over a generic Aussie sports admin tool; the customisation burden on PlayHQ or GameDay eats the headline price gap inside one season. Run the legacy Sheets and the new platform alongside each other for around a fortnight before pulling the plug on the old files. I built Row HQ in England because the club I row at - Oundle Town Rowing Club in Northamptonshire - was running on six Google Sheets, a WhatsApp group with eighty people in it, and a printed sign-out clipboard pinned to the shed wall. Some sheds genuinely make it work. Most struggle once the active roster crosses 80 athletes split across three or four squads in the same shed. If your shed is reading this, you already have a feeling about which side of the line it falls on. What follows is a working playbook for what to move across, what is fine to leave alone, and how to make the transition without torching the institutional records that your treasurer or DoR has spent multiple seasons building up.

How widespread is the Sheets problem across Aussie rowing?

No published survey of Aussie rowing programmes running on Google Sheets exists, so this guide will not fabricate one. The two figures we can ground are the active rowing population at state level and the long-standing audit evidence on how badly any spreadsheet fails once a second editor opens it.

The EuSpRIG figure is the most-cited spreadsheet error baseline in the audit and risk literature. The takeaway is not that any individual workbook is broken today. The takeaway is that the failure pattern is structural rather than operator-driven, so the file degrades the more hands touch it.

Where Sheets actually break at 80-plus athletes in a shared shed

Google Sheets is not the villain here. Sheets is exceptional at the job it was designed for, which is single-user analytical workbooks plus the occasional two-person collaboration. Coordinating an Aussie rowing programme across senior crews, a women's squad, a masters group and a school partnership crew all sharing one rack of hulls is something else: live fleet allocation, multi-coach conflict prevention, granular access controls separating parents of minors from senior squad members, mobile push, an audit log of who changed what. None of those capabilities are native to a spreadsheet, so every shed in the country fails in the same three ways in the same order once the roster crosses about 80 athletes.

Failure one shows up in the rack sign-out tab. The opening version always looks crisp - shells listed down the rows, time slots across the columns, sweep and sculling colour bands across the grid. Three weeks in there is a phantom entry from a coach who clicked the wrong row, a head-to-head clash because two squads had the workbook open at the same time, and a senior cox who has quietly stopped trusting any of it. By the time Head of the Yarra crews go on the rack, the file resembles a hazard poster with a footer reading please leave this row alone, see Sam before changing anything.

Failure two surfaces in the rower database. The treasurer holds the BPay reconciliation register. The head coach maintains a separate roster with rigging side preferences, weight bands and recent ergometer splits. The DoR keeps a third workbook with the LMS extract pasted in, including parent next-of-kin numbers that under APP 11 are not supposed to be visible to anyone outside a defined set of staff. The Rowing Australia individual registration data, which has to be submitted accurately for every athlete competing at a state or national regatta, sits in yet another tab the secretary updates by hand each quarter. When a year 12 graduates or a senior club rower transfers to Mosman for the winter season, four of those files require an update and one of them sits stale until renewal season the following spring.

Failure three is the seasonal rollover. Aussie rowing rotates personnel ferociously: committees, club captains, school DoRs, head coaches. Each spring the incoming captain or director of rowing inherits a SharePoint or Drive folder full of files like fleet_v3_FINAL_use_this.xlsx and quickly discovers the conditional-formatting rules render correctly only inside the outgoing treasurer's specific Excel for Mac build.

None of the above is operator failure. The pattern is structural. A spreadsheet is fundamentally a one-editor instrument being deployed against a workflow that is inherently many-editor, and the breakage clusters in the same predictable spots regardless of how thoughtfully the original file was originally architected. The specific incident that pushed me to build Row HQ at my own club was losing a coxed-four lineup the morning of a regatta because the workbook lived in the captain's personal Drive and the captain was away on holiday with patchy reception. Three rowers had the lineup half-remembered. None of the recollections matched.

What to replace first

A staged migration outperforms a full rip-and-replace. The Aussie programmes who execute this well do so by going after the loudest weekly headaches first and leaving every other Sheets tab untouched until later. Sequence is everything. Land one visible win, demonstrate it to the committee or to the school leadership team, then earn permission to retire the next file.

1. The rack sign-out. Begin here because this is the file generating the most noise. A genuine booking engine shows what is on the racks in real time, blocks clashes at the database layer, and reallocates a freed shell to the next waiting crew when an outing gets cancelled. 2. Outing RSVPs. If the squad currently coordinates through a WhatsApp poll, a Microsoft Form, a Google sheet linked in a Messenger thread, or a pontoon clipboard, this is the next workflow to retire. Move to one-tap RSVPs anchored to a specific session, so the coach already knows the boat composition before driving down to the shed and rowers receive an automatic reminder ping. 3. Rower files, levies and next-of-kin contacts. One unified rower database, with access permissions calibrated for parents of minors versus senior squad members versus coaching staff, is the move that quietly fixes everything downstream. What to leave alone

Plenty of files deserve to stay. The season levy forecast the treasurer rebuilds every November, a dedicated nomination workbook for the King's Cup trials, the boatie's hull repair log iterated over five rowing seasons - whenever a file is owned by one person handling a low-cadence task, leave it alone. Killing spreadsheets is an operational decision, not an ideological position. Migrate whatever is filling the Tuesday-night committee chat with complaints. Leave whatever nobody mentions.

A useful filter: if only one person edits the sheet, and rowers, parents, coaches and admins do not need simultaneous visibility of it, then it is almost certainly fine where it lives.

Sizing up the replacement options

Three replacement categories exist in the Aussie market, and most programmes accidentally back the wrong horse because they go straight to the most obvious-looking option.

Cross-sport admin platforms. PlayHQ, GameDay (previously SportsTG), iMIS Cloud and Volary are designed for membership-plus-fixtures sports such as netball, AFL, hockey and swimming. You can mould them to a rowing shed, but you will spend an entire season wrestling against their data model. A rack sign-out behaves nothing like a netball court reservation. Crew composition behaves nothing like an entry into a swim meet. Rowing Australia individual registration data submission does not match the membership upload format of any of them. The headline pricing is usually lower, however the ongoing tweaking burden plus the things they simply cannot do well tend to neutralise the savings within twelve months.

Rowing-specific platforms. The talented-parent or talented-member custom build. Then their child finishes year 12, the parent exits the school community, and suddenly nobody owns the codebase. The school then spends the following winter reverse-engineering an undocumented application written in someone else's preferred stack. If your platform rests on one human, plan today for the date they step away.

Moving across without binning the archive

The number-one fear raised by committees and DoRs is losing the institutional record. Decades of attendance ticks, coaching notes, regatta placings, Head of the Yarra entry history reaching back to the 1990s - all of it lives in old workbooks and feels sacrosanct even when nobody opens it from one year to the next. The encouraging part: ingesting from spreadsheets is the most straightforward import scenario you can offer a SaaS provider. Every reputable rowing platform speaks CSV and XLSX fluently.

In practice the migration runs through four stages. Stage one is the audit. Sweep through every rowing file in your Drive, SharePoint or Dropbox, label its contents, and classify each as live or archive. Most programmes find roughly half the files are stale forks nobody has had the nerve to bin.

Stage two is cleansing the live data. Strip out the conditional-formatting rules that only the outgoing treasurer ever understood. Reformat mobile numbers to the +61 standard. Normalise email capitalisation. Verify dates of birth so the under-18 boundary lands correctly for APP-compliant access controls. Reconcile each rower against their Rowing Australia individual registration record so the next data submission goes in cleanly. This is the boring stage, and equally the moment you finally surface the data-quality issues your shed has been silently carrying around for years.

Stage three is the staged ingest itself. Load rowers and next-of-kin numbers in the first pass because every other table hinges on a populated rower record. Next, the fleet inventory. Then the outing templates, usually three or four per squad each week through summer, with a different shape for the winter ergometer-and-cross-training period. Keep the legacy rack sheet open in read-only mode, but funnel every new entry exclusively through the new platform. Once a fortnight passes without a single fault, lock the old workbooks, archive them, and stop touching them.

The board agenda item where the decision actually lives or dies

The second reason Aussie programmes drag along on Sheets beyond their useful life is the board agenda. Someone tables a motion, another member asks the annual AUD figure, the room sketches some napkin maths against the season levy, and the chair lands on let us bring it back at the next AGM.

A more honest accounting: how many hours of volunteer or paid-staff effort is the existing arrangement consuming? A captain or DoR who burns two hours weekly untangling fleet allocation is shedding well over one hundred hours per rowing season. Price that effort at any defensible AUD hourly rate for an individual who could instead be coaching novices, running ergometer benchmarks or rigging shells, and the figure is genuine - the programme is already settling the bill, just not as a line item on the levy invoice. The real choice is whether you cover it in software fees or in the patience of unpaid parents and committee members. Aussie clubs and schools chronically discount the human invoice, because parental hours appear free right up to the moment the volunteer pool starts politely declining further asks.

A quick pre-switch punch list

  • Pinpoint the single workflow driving the loudest weekly complaints. Migrate that one first.
  • Secure buy-in from the daily users - the boatie, the club captain, the head coach, the DoR. Not just the chair or the principal signing the cheque.
  • Sweep through your existing workbooks. Promote live data, archive the historical, delete the duplicates.
  • Favour a rowing-built platform over an Aussie cross-sport admin product. The customisation overhead on a generic almost always exceeds the headline price gap.
  • Run the legacy spreadsheets and the new tool concurrently for between a fortnight and a calendar month before retiring the old.
  • Document the migration thoroughly so the incoming committee or new DoR inherits a working platform, not a directory of files they have to decode.
