Common questions from Aussie clubs running regatta nominations, head races and club events through Row HQ.
Create the regatta, open nominations, build crews from whoever puts their hand up, lock the entries before closing, then log results once racing wraps up. Each regatta gets its own page in the app showing the closing date, the entry fee, and the categories the club plans to contest. A member taps once to nominate; the captain or head coach handles the rest. Whether it is the King's Cup, the Head of the Yarra, a schools regatta, a state championship, or the club's own internal race day, one boat or twenty boats, the workflow stays identical.
That is exactly how most clubs run it. Nominations usually open weeks ahead of the closing date, which gives coaches a clear view of availability before any boat is settled. The regatta appears in each member's feed; they tap to nominate, choose the categories they fancy, and can leave a note such as "flying back Saturday night, Sunday only". The crew builder shows responses as they arrive, so selection happens from a list of people who have already said yes rather than a ring-around of maybes.
You can stand a regatta up in a few clicks and reuse the setup season after season. Row HQ does not lodge entries with Rowing Australia or your state association - those still go through their own portals - but the export hands you every crew, seat and category in a clean format for the portal, with no retyping. The club keeps its own record of who sat in which boat, the closing date gets met without a late-night data-entry session, and season-end reporting has everything it needs.
Substitutions are built in, with an audit trail behind every change. Rower wakes up crook on race day? The captain swaps the spare in from a phone at the venue, and the incoming rower, the cox and the boat handler are all pinged within seconds. Both the original entry and the boat that actually raced are kept, so when an organiser asks exactly who rowed the M4+ in the 9:40 race, the answer is on record. The results entered afterwards credit the crew that actually took to the water.
They can. The captain or a coach enters each crew's outcome against its entry: time, placing, margin, opposition. Those results appear on individual rower profiles, on a public club results page if you switch it on, and in the season summary the committee tables at the AGM. Season by season the history builds - handy when selection debates start ("he has medalled twice in the club four this year") and when the annual report is due. A CSV export covers clubs that publish results to their own website.
