How rowing clubs use Row HQ to run regatta entries, head races, and club events.
Row HQ runs the full lifecycle: create the regatta in the system, open expressions of interest to members, build crews from the responders, lock entries before the deadline, and record results after racing. Each event has its own page that members see in the app, with the closing date, fee, and which categories the club is entering. Members tap to register interest and the captain or coach takes it from there. The system handles entries for the King's Cup, Head of the Yarra, GPS/AGSV/CAS school regattas, state championships, and internal club regattas equally well - it is the same workflow whether you are entering one boat or twenty.
Yes - that is the standard workflow. Most clubs open expressions of interest several weeks before the entry deadline so coaches can see who is available before they finalise crews. Members see the regatta in their feed, tap "interested", optionally pick which categories they want to race, and add a note (e.g. "available all weekend except Sunday morning"). Coaches see the responses live in the crew builder and pick the squad from the people who actually said yes - no chasing round to find out who is in.
The events module reads the Rowing Australia and state-association fixtures calendars so common regattas can be set up in a few clicks with the right closing date pre-populated. We do not push entries to Rowing Australia directly - their entry system runs through the RA portal and is not open to third parties - but the data export gives you everything you need to drop into the RA portal in the right format. The result: club records crews internally, hits the RA deadline with no manual rekeying, and keeps a record of who raced in which boat for season-end reporting.
The crew builder allows last-minute substitutions on race day with a clear audit trail. If a member is sick on race morning, the captain swaps in the spare from their phone, and everyone affected (the new rower, the cox, the boatman) gets a notification within seconds. The original entry is preserved alongside the actual race-day crew, so if the regatta organiser asks who actually raced in the M4+ at 09:42, you have a definitive record. Substitutions also flow into the post-event results so credit goes to the right people.
Yes. After the event, the captain or coach records each crew's result against the relevant entry - finishing time, position, head time, opponent. Results show on each rower's profile, on the club's public results page (if you choose to publish), and feed into season-end reporting for the AGM. Over time the system builds a results history per member, useful for selection ("she has won three pots in the senior 4x") and for the captain's annual report. The data exports to CSV for clubs that publish to a website.
