Software for uni rowing in Australia

Rowing software for Australian university boat clubs

One platform for SUBC, MUBC, ANUBC, UWABC, UQ Boat Club, Monash, La Trobe and every other uni club on the circuit. It handles the committee changeover at AGM time, squads from the 1st VIII down to novice crews, tight student budgets, and a calendar that peaks at the Australian Boat Race, the Australian University Rowing Championships and Henley-on-Yarra.

No credit card required. Live in a day. We import your roster free before semester one starts.

Why a uni boat club needs purpose-built software

One platform covers the whole job of running an Australian uni boat club: session planning for every squad, seat selection in the 1st and 2nd VIIIs, ergo score tracking, regatta entries, shed and fleet upkeep, sponsorship records from the old members network, and an audit trail the university sport office can inspect. Row HQ fits how uni rowing works here, from the sandstone clubs in Sydney and Melbourne to newer programs at Monash, La Trobe and UQ.

The structure of a uni club works against it. A fresh intake lands every February, the committee changes at every AGM, and the budget depends on what the old members network puts in. Meanwhile the season never pauses: O-week recruiting, winter ergo blocks, then Henley-on-Yarra, the uni championships and the Australian Boat Race. Generic sports admin tools assume a stable membership and a permanent administrator. Row HQ assumes neither.

For that reason Row HQ exists as rowing club management software for university rowing clubs: the club record survives no matter who holds the captaincy this year.

One platform for all three groups

Three groups, one system. The committee handles administration, the coaches handle the water, and the university sport office gets visibility without asking for weekly updates.

Head coach / coaching staff

Coaches on the program can:

  • Plan water and ergo sessions for every squad, senior through novice
  • Pick the 1st VIII and 2nd VIII from availability data instead of guesswork
  • Mark attendance in a single tap
  • Watch ergo scores, weights and seat racing results build up season after season
  • Send a notice to one squad or the entire club

Club captain & committee

The committee of the day can:

  • Sign up the O-week crowd and run learn-to-row for the February intake
  • Organise pre-season camps and interstate travel for the Australian Boat Race
  • Keep sponsorship and old members outreach in one place
  • Pass the club to next year's committee without losing anything
  • Give the university sport office the numbers it asks for

Members

Every member gets, on their phone:

  • The week's sessions and which shed to turn up at
  • Their seat for the coming regatta
  • Camp itineraries and interstate travel plans
  • Their own ergo history and PBs
  • A direct line to their coach

One club, three different screens

Identical data, shown three ways. Flick between tabs to compare what a coach, a committee member and a rower each see.

Set the session. Seat the boat. See who made it to the water.

Matched to how Australian uni rowing runs

Every squad, one view

Senior men, senior women, novices, lightweights and masters each carry their own roster, calendar and coaching staff. The head coach watches all of it from a single screen, 1st VIII to 4th VIII.

Old members and sponsors

A permanent register of past members and backers, segmented for outreach and tied into regatta announcements and end-of-season appeals. Clubs funded by their old members network depend on exactly this.

Camps and interstate travel

Pre-season camps, away regattas, the trip to the Australian Boat Race - travel rosters, itineraries and costs tracked in one place.

Progression that survives graduation years

Ergo results, weights, seat history and load data follow the rower for their entire career, whoever is on the committee.

Reporting the sport office accepts

Attendance, welfare, money and season summaries in a format the university sport department can audit, aligned with the Australian Privacy Act.

Changeover-proof by design

At AGM the roles move across in two clicks. Nothing is exported, emailed or lost - the new committee simply inherits a working club.

Records that outlive the committee

The club keeps its history, whoever runs it

Every uni club rebuilds itself annually: fresh intake, fresh committee, often a fresh coach. Row HQ makes the club itself the constant - crew records, ergo data, the old members register and the finances all carry straight through each AGM and each election.

  • AGM changeover without a single lost record
  • Graduated rowers stay on the register, with their consent choices logged
  • An audit trail the university sport office can review
  • Hosted on encrypted cloud infrastructure
  • Encryption in transit and at rest, retention aligned with the Privacy Act

Three jobs Row HQ takes off an Australian uni club

The same three headaches surface every season. Here is how each one disappears.

AGM changeover

Hand the club over in two clicks, not two months

The new committee inherits the lot the moment roles are reassigned: rosters, sponsor records, fleet maintenance logs and every crew ever boated. Nobody has to email last year's captain begging for the spreadsheet.

  • Roles reassigned in two clicks at the AGM
  • Sponsor and old members records carry across years
  • Fleet, finance and crew history stay intact

Availability updates in real time across every squad. Drag rowers into seats for the M8+ and W8+, and the moment the crew is locked it lands on every phone in the club.

Ergo progression

Years of ergo data, none of it lost

Scores, weights, seat racing outcomes and training load stay pinned to each rower through every changeover. An incoming coach starts with the full picture rather than folklore.

  • Ergo PBs with the complete score history
  • Season-on-season load comparisons
  • Untouched by committee changeovers

The pattern repeats at Australian uni clubs every November: the AGM passes, the old captain graduates, and the sponsor list, the fleet log and the intake pipeline graduate with them on a personal laptop. Row HQ ends that - roles move in two clicks and the club keeps everything.

Australian university rowing software FAQs

Does Row HQ suit both elite and social uni clubs?
Yes. Sandstone clubs like SUBC and MUBC racing the Australian Boat Race use the same platform as social campus crews, toggling features on or off at setup. Up to 20 active members costs nothing; past that you pay a flat monthly AUD amount set by active member count.
What happens at AGM changeover?
Roles reassign in two clicks. The incoming captain and committee take over a fully working club - roster, sponsor register, fleet log, crew history - while the outgoing group simply loses admin access. Nothing sits on a private laptop.
Where is our club's data kept?
On hardened enterprise cloud infrastructure in London, encrypted in transit and at rest under UK GDPR. For APP 8 cross-border disclosure the OAIC treats UK GDPR as a comparable regime, and we supply the transfer paperwork and sub-processor list on request. There is no Australia-region tenancy today, so raise data residency early if your committee needs it discussed.
Do graduated members disappear from the system?
No. They move to the old members register with their consent preferences recorded. Outreach can be segmented - recent graduates, major sponsors, regatta supporters - and any of them can opt out or request an export of their data whenever they like.
Can it run several squads at once (1st VIII, 2nd VIII, novices, lightweights)?
Yes. Each squad carries its own roster, calendar, coaches and reporting, the head coach sees everything, and a rower can sit in more than one squad where selection demands it.
Will it talk to the university's student systems?
Roster comes in by CSV each year; attendance, finance and welfare reports go out to the sport office the same way. Direct integrations are planned on the roadmap.
How does sponsorship tracking through the old members network operate?
Past members stay on the register after graduation. The captain or a dedicated officer segments them for outreach and links appeals to regatta-day announcements - the funding model most established Australian uni clubs already run, minus the spreadsheet.
Is there a free tier?
Clubs with 20 or fewer active members pay nothing, ever, with every feature included. Larger clubs move onto flat monthly AUD bands priced purely on active member count, and no feature is ever held back.
