Rowing software for Australian school rowing

Australian schools row at a scale most club tools never meet. Row HQ gives the director of rowing one place for squads, selections and shed logistics, gives parents a live schedule on their phone, and gives the school the welfare oversight it is accountable for - with no WhatsApp archaeology.

No credit card. Live in a day. We import your roster from the school list for free.

Why Australian school rowing needs its own software

Row HQ gives Australian school rowing one operational home: squad scheduling from summer pre-season to Head of the River, selection across the 1st VIII down to Year 9 quads, welfare records and emergency contacts, parent updates, regatta entries, fee billing through the school, and a complete audit trail. GPS, AGSV, CAS, AAGPS and GSV programmes all run the same way on it, right through to the Australian Schools Championships.

The scale is the thing. A big Melbourne or Sydney shed fields hundreds of rowers from Year 9 to Year 12, dozens of volunteer parents, several boat sheds and a racing calendar that peaks at Head of the River on the Yarra, the Nepean or the Barwon. The director of rowing juggles term breaks, exam blocks and a supporters' association, all under child-safe obligations the school answers for. Club software with no parent layer and no school finance link falls over at that size. Row HQ was shaped around exactly that calendar and that headcount.

Community clubs and schools share one product: the rowing club software for Australian clubs underneath is identical, and the parent plus welfare layer switches on from day one for school programmes.

One shed, three audiences

Coaches coach, parents read the schedule, and the school watches the whole programme without joining another meeting.

Director of rowing

Your director of rowing can:

  • Run training calendars for every squad from Year 9 to Year 12
  • Select the 1st VIII through to the last four with live availability
  • Mark attendance at the shed in a single tap
  • Log ergo scores and watch progression over the season
  • Send an announcement to one squad or the whole shed

School / business office

The school administration gets:

  • A welfare, roster and attendance audit trail
  • Fees collected by Stripe or through school invoicing
  • Consent captured on every camp and trip roster
  • A live fleet register with maintenance history
  • Season-on-season reporting for school council

Parents

On a parent's phone:

  • Session times, shed address and pickup arrangements
  • Which crew their child races in on Saturday
  • Camp lists and consent forms to sign
  • A direct line to the coaching staff
  • Programme news through Head of the River week

What each audience sees on screen

One data set, three windows. Flick between tabs to preview the coach, school admin and parent experience.

Shaped by how Australian sheds actually operate

Squads at private-school scale

Year 9 through Year 12, boys, girls, novice - each squad carries its own roster, coaches and calendar, and the director of rowing still sees everything from the 1st VIII down.

Parents informed, never in the admin

A parent account shows one child: schedule, seat, trip details. The back office stays closed, and coaches push family updates through a single channel.

Built around HoR season

Terms, exam blocks, January camps, the Head of the Yarra and the run in to Head of the River all sit natively in the calendar.

Fees the business office can reconcile

Bill through Stripe or raise school invoices. See at a glance who has paid, who holds a bursary and who needs a nudge.

Reports school council will take

Attendance, welfare and season-review exports arrive already formatted for council and the supporters' association.

Handover without the lost laptop

A departing coach leaves the data behind. Roles reassign, history stays, and no rower records ride off on personal hardware.

Welfare and privacy

Junior protection is the default, not an add-on

Emergency contacts, medical notes, consent forms and travel details for minors sit inside every school programme. Row HQ handles that data to the standard your business office, your child-safe officer and your insurer will ask about.

  • Child-safe officer role with complete audit visibility
  • Consent timestamped against every camp and trip
  • Hosted on encrypted cloud infrastructure
  • Every coach-rower interaction leaves a log entry
  • Encryption at rest and in transit; the rower portal carries no third-party trackers

A week in the life of an Australian shed on Row HQ

Three jobs that recur every single week of the season, and what happens to each once Row HQ takes them over.

Editing a training session in Row HQ

Training scheduling

Five minutes to plan the training week

Templates repeat sessions per squad, overrides handle the exceptions, and exam blocks are respected automatically. When a session moves, every rower knows immediately - the WhatsApp group retires.

  • Session templates repeat per squad
  • Exam blocks and term dates respected automatically
  • Changes reach rowers the moment they happen

School reporting

Term reports assemble themselves

Fees, bursaries, attendance and welfare events roll into ready-made exports for the school office. Nobody spends the night before council cross-checking five spreadsheets again.

  • Stripe collections and invoices in one ledger
  • Per-rower attendance and welfare history
  • Exports match what school councils expect

Parent communication

Nobody asks when the bus leaves any more

Sessions, regattas and travel plans land straight in the parent app, updated the instant anything shifts. Forwarded email chains and four parallel WhatsApp groups vanish from coaches' evenings.

  • Each parent sees only their own child
  • Schedule changes notify families instantly
  • Consent and camp paperwork lives in one spot

Strip back a typical Australian school programme and you find four WhatsApp groups, a stack of Excel sheets, a paper sign-on book at the shed and a director of rowing burning weekends stitching it together. Row HQ replaces the lot with one system.

Questions Australian schools ask

Is Row HQ for schools or clubs?
It serves both from one codebase. GPS, AGSV, CAS, AAGPS and GSV school programmes, university sheds and community clubs all use the same platform; schools simply switch on the billing, parent visibility, welfare officer and audit features they need during setup.
How is junior welfare handled?
Each rower can carry several parent or guardian contacts. Interactions between coaches and rowers are logged, welfare officer and director of rowing roles see everything, and no camp or trip is confirmed until consent is on record. All communication remains auditable.
Where is our programme's data held?
On hardened enterprise cloud infrastructure in London, encrypted in transit and at rest under UK GDPR. The OAIC recognises UK GDPR as a comparable regime for APP 8 cross-border disclosure, and we supply the transfer paperwork and sub-processor list on request. Australia-only residency is not something we offer today, so raise it early if your council requires it and we will talk your reviewers through the safeguards.
What about the Privacy Act and Child Safe Standards?
Minor records default to parent-accessible. A parent can read their own child's data, pull a complete export whenever they like, and withdraw consent in writing. Coach-rower messages are logged, retention rules can purge records after a rower leaves, and the child-safe officer gets the operational trail the National Child Safe Principles ask for.
Can the school watch the programme without running it?
Read-only oversight covers roster, attendance, welfare events, money and the fleet. The office stays informed without attending a single coaches' meeting, and the year-end export matches what councils usually ask for.
What exactly do parents get access to?
A parent login is bound to their child alone: schedule, seat, regatta entries and travel. Other rowers, coaching admin and finance are invisible. Updates arrive in-app as things change.
Does it replace our school information system?
No - it sits beside it. A CSV pulls your roster in at the start of the year and attendance plus finance reports flow back out. Direct integrations are on the roadmap.
What does it cost a school programme?
Nothing until you pass 20 active members: full platform, no card, no time limit. Beyond that a flat monthly band applies based on headcount, and every band includes every feature.
