For varsity and club rowing at Canadian universities

Rowing software for Canadian university rowing programs

Purpose-built for rowing at Canadian universities, where the racing window is short and the turnover is constant. Covers the September recruit rush, squad management from the varsity eight down to novice crews, student-run budgets, and a fall calendar that closes with the OUA Championship, Canada West, and the Canadian University Rowing Championships.

No credit card. Running within a day. Your September roster imported at no charge.

Why Canadian university rowing needs its own platform

A Canadian university rowing program needs one system that handles recruiting, practice scheduling, seat selection, erg testing, regatta entries, equipment records, alumni fundraising, and the reporting an athletics department expects - not eight disconnected spreadsheets. Row HQ brings all of it into a single platform, shaped around how Canadian university rowing actually operates, from OUA and Canada West varsity crews to student-run development programs on campuses coast to coast.

The Canadian season compresses everything into ten weeks. Recruits arrive in September, race in October, and the OUA Championship and the national university championship are done by early November before the long indoor erg winter begins. Meanwhile the student committee that runs the club changes annually and the coaching staff stretches across multiple squads. Software written for a generic sports team, with no idea about handover, alumni, or varsity reporting, breaks under that. Row HQ was designed around it.

That is what Row HQ is: rowing club management software for university rowing programs, engineered so the program's records outlive any single committee or graduating class.

Three roles, one system

Coaches, the student committee, and the athletics department each get their own window into the same program - and nobody needs a weekly status meeting to stay informed.

Head coach / coaching staff

Coaching staff use it to:

  • Set practice blocks for varsity, JV, novice, and lightweight squads
  • Select the men's and women's eights against real availability, seat racing results in hand
  • Record attendance with a tap per rower
  • Follow erg tests, weights, and development curves across seasons
  • Broadcast to one squad or the whole program

Student committee & captains

The student executive uses it to:

  • Organize the September recruit intake and learn-to-row
  • Book fall camps and manage travel for conference regattas
  • Run alumni campaigns and donor outreach
  • Transfer the club to the next executive without loss
  • Report to the athletics department on schedule

Members

Rowers open the app and find:

  • Practice times and boathouse directions
  • Their lineup for the weekend
  • Trip rosters and hotel details
  • A personal erg record with progression
  • Messages straight from their coaches

Shaped around Canadian university rowing

Squad structure that matches yours

Varsity, JV, novice, lightweight, and alumni squads each run independently with their own coaches and calendars, rolled up into one program-wide view for the head coach.

Alumni and donor management

Graduates move onto a permanent alumni roster with segmented outreach, connected to regatta announcements and year-end campaigns. Programs that fund shells through alumni giving live off this.

Camp and conference travel

Fall camps, away regattas, and championship weekends organized end to end: rosters, itineraries, and the money side tracked together.

Development curves across seasons

Erg tests, weights, lineup history, and training load accumulate on each rower's record for their whole career, untouched by executive turnover.

Athletics department reporting

Attendance, welfare, and financial summaries formatted the way a varsity athletics office and conference administrators expect them.

Executive turnover, solved

When the executive changes, roles reassign in two clicks and the incoming group inherits everything - no export, no hunt for files.

Continuity through every turnover

The program remembers, even when everyone graduates

Committees change yearly and rosters change completely inside four years. Row HQ anchors the program's memory - alumni lists, lineups, erg records, finances - so it carries through every election and every convocation intact.

  • Executive turnover with nothing lost in the transfer
  • Graduates retained on the alumni roster with recorded consent
  • Complete audit history for athletics department review
  • Hosted on encrypted enterprise cloud
  • Encrypted at rest and in transit, with PIPEDA-aligned retention

Three problems Row HQ removes from a Canadian program

Every season produces the same three fires. Here is how each one gets put out.

Executive turnover

The transfer takes two clicks and loses nothing

Reassign the executive roles and the incoming group holds the full program: roster, alumni list, equipment log, and every lineup ever raced. The days of reconstructing the club from a graduate's laptop are over.

  • Role reassignment in two clicks
  • Alumni and donor lists carry forward intact
  • Equipment, finance, and lineup history preserved

Erg progression

A rower's whole testing history in one record

Every erg test, weight entry, and lineup stays attached to the rower from first practice to convocation. New coaching staff open a complete file, not a rumor.

Every spring a Canadian program repeats the ritual: the graduating executive walks out with the alumni list, the equipment log, and the recruiting pipeline on a personal laptop, and the new group starts from scratch. Row HQ retires the ritual - two clicks, complete transfer, nothing rebuilt.

Canadian university rowing software FAQs

Does Row HQ fit varsity programs and campus clubs alike?
It fits both. OUA and Canada West varsity crews and student-run development clubs use the identical platform and simply toggle features at setup. Twenty or fewer active members costs nothing; beyond that, flat monthly pricing bands scale with active member count.
What does the annual executive transfer look like?
Two clicks. Incoming officers receive full access to the roster, alumni list, equipment log, and lineup history the moment roles change hands, and outgoing officers lose admin rights. No files ever sit on personal machines.
Where is the data hosted?
On hardened enterprise cloud infrastructure in a London, UK data centre, encrypted in transit and at rest. PIPEDA allows transfers where comparable protection exists, and we provide the transfer documentation and sub-processor list universities typically request for review. A Canada-region tenancy does not exist today - flag data residency early if your reviewers require it.
Do alumni records survive graduation?
They do, together with each person's consent status under PIPEDA and CASL. Outreach segments - recent grads, major donors, regatta supporters - tie into announcements and campaigns, and any alum can unsubscribe or request their data export at any time.
Can one program run varsity, JV, novice, and lightweight squads together?
Yes. Squads operate independently with their own coaches, calendars, and reports; the head coach sees the whole program; rowers can belong to several squads at once when selection calls for it.
Does it connect to university student systems?
Rosters import from CSV each September, and attendance, finance, and welfare reports export for the athletics department or students' union. Direct integrations are on the roadmap.
How does the alumni fundraising side work?
Graduates remain on the roster permanently. The alumni officer or development contact segments them, times appeals around regatta days, and tracks who has been contacted - which is how programs that fund equipment through alumni giving keep it organized.
What does it cost a Canadian program?
Nothing up to 20 active members, permanently, with all features included. Above 20 you pay a flat monthly CAD band determined only by active member count, and every band gets every feature.
