Why NCAA and collegiate rowing programs need their own software

Rowing software for NCAA and collegiate programs runs every operational layer of a university crew program from one platform: practice scheduling across squads, lineup selection, athlete welfare, scholarship roster tracking, recruiting timeline management, fundraising and donor segmentation, regatta entries, fleet management, alumni relations, Title IX participation reporting, and the institutional reporting your athletic department, FAR, and compliance office require. Row HQ is built for the way collegiate rowing actually runs, from Pac-12, Big Ten, and Ivy League varsity programs to Patriot League, EARC, and ACRA club teams.

College rowing programs sit in an awkward spot. The entire roster turns over every four years. The program is run by a mix of paid coaching staff and elected captains on tight athletic department budgets. Title IX participation has to be documented, FERPA governs how athlete data is shared, and the season runs from fall head races (HOCR) through spring sprints, Eastern Sprints, Dad Vail, and the IRA National Championship in May. A generic club tool with no concept of roster handover, no donor tracking, no scholarship roster, and no AD compliance reporting cannot run a varsity program properly. Row HQ has those four built in.

Three audiences, one platform

One platform, three groups. Captains run the program, coaches run training, and the AD and compliance office can see what is going on without weekly check-ins.

Head coach / coaching staff

The coaching staff can:

  • Schedule practices across V8+, 2V8+, varsity, JV, novice, lightweight, and women's squads
  • Build lineups from live availability with one source of truth across the whole roster
  • Take attendance with one tap per athlete (logged for Title IX participation reports)
  • Track erg scores, body weight, and athlete progression season-on-season
  • Push announcements to a squad or full program

Captain & senior leadership

Your elected captain and senior class can:

  • Run incoming class signups, recruiting visits, and walk-on tryouts
  • Plan training trips (winter training, spring break) and travel rosters
  • Coordinate alumni and donor outreach with the development office
  • Hand the program off cleanly each May without losing institutional knowledge
  • Keep the AD and compliance office informed without weekly meetings

Athletes

Athletes see in their phone:

  • Practice schedule and locations
  • Their lineup for the next regatta
  • Travel rosters and team-trip details
  • Erg history and personal progression
  • Direct messaging to coaching staff

Multi-squad management

V8+, 2V8+, varsity, JV, novice, lightweight, women's, freshman - every squad gets its own coaches, calendar, and roster. The head coach sees the program-wide view.

Alumni and donor tracking

Built-in alumni roster and donor segmentation, integrated with regatta-day announcements and end-of-season fundraising appeals. Plays nicely with the development office.

Travel and training trips

Winter training, spring break trips, away regattas, IRA travel - rosters with parental consent (for under-18 walk-ons), travel info, hotel rooming, and finance tracking.

Athlete progression season-on-season

Erg history, weight tracking, lineup history, and training load all preserved as athletes progress through the four-year eligibility cycle.

Title IX and AD-grade reporting

Participation reports for Title IX, attendance reports, welfare reports, finance summaries, and end-of-season reviews formatted for athletic department audit and EADA filings.

Built for annual roster turnover

Roster import every fall, alumni records preserved, captains hand over cleanly to the next class. The data does not graduate with the senior class.

Data integrity through handover

Built so your data outlasts the senior class

A college rowing program turns over completely every four years - athletes, captains, sometimes coaches. Row HQ is built so the program's history, donor list, lineups, scholarship records, and erg PRs survive every handover, every commencement, every captain election.

  • Two-click handover with zero data loss between captains
  • Alumni records persist with consent tracking after graduation
  • Full audit trail for athletic department and FAR oversight
  • Encrypted cloud hosting

Annual handover

A captain hands over without losing a single record

When the outgoing captain logs out and the new captain logs in, every roster, alumni record, donor list, fleet log, scholarship roster, and historical lineup stays in place. No more chasing last year's captain for spreadsheets they took with them after commencement.

  • Two-click role transfer at the end of the academic year
  • Alumni and donor records persist across years
  • Fleet log, finance, lineup history all preserved

A typical college rowing program loses six weeks every May to handover - the outgoing captain takes the alumni list, the donor records, the fleet log, and the freshman pipeline with them, all on a personal laptop that walks across the commencement stage. Row HQ replaces that with two-click role transfer.

College rowing software FAQs

Is Row HQ for NCAA varsity programs or ACRA club rowing?
Both. The same platform supports NCAA Division I, II, and III varsity programs, ACRA club teams, IRA varsity programs, and recreational college rowing. Each program toggles which features they need at setup. Programs of up to 20 active members are free; above that, pricing scales in flat monthly bands by active member count.
How does Row HQ handle the annual handover problem?
Captain and senior leadership roles transfer in two clicks at the end of the academic year. The outgoing captain logs out, the incoming captain logs in, and every roster, donor record, fleet log, and historical lineup stays in place. The data does not live on anyone's personal laptop.
Does Row HQ help with Title IX participation reporting?
Yes. Practice attendance is logged automatically and rolls up into participation reports the AD and compliance office can use for Title IX documentation and EADA filings. The same data exports for end-of-season reviews.
Is Row HQ FERPA-compliant?
We build to FERPA-aware standards. Athlete data is encrypted at rest and in transit, access is role-based, the audit trail logs every record view, and we can sign a FERPA-aware data handling addendum on request. We do not sell or share athlete data with third parties.
Where is our program's data stored?
Your program's data is held on hardened enterprise cloud infrastructure in a UK data centre (London), encrypted at rest and in transit. We can share our sub-processor list and the standard cross-border transfer paperwork on request - the documentation most ADs need for their compliance review. If US-only data residency is a hard requirement in your procurement template, raise it before you sign up so your compliance reviewer can confirm the transfer safeguards meet your bar.
What happens to alumni data after they graduate?
Alumni records persist after graduation, with consent tracking. The captain or alumni officer can segment outreach (recent grads, capital campaign donors, season ticket alumni) and integrate fundraising appeals with regatta-day announcements. Alumni can opt out of communication at any time and request a full export of their data.
Can it handle multiple squads (V8+, 2V8+, varsity, JV, novice, lightweight, women's)?
Yes. Each squad gets its own coaches, calendar, roster, and reports while the head coach sees the program-wide view. Athletes can be in multiple squads if needed (varsity + lightweight selection, for example).
Does it integrate with our athletic department systems?
We import roster from CSV at the start of each fall and export attendance, finance, Title IX participation, and welfare reports for the AD. Direct integrations with the major athletic department platforms are on the roadmap.
How does scholarship roster tracking work?
Athletes can be flagged as on full scholarship, partial scholarship, or walk-on, with the scholarship value attached to each record. The AD-facing dashboard rolls scholarship counts up by squad and gender for compliance review.
Is Row HQ free for college programs?
Programs of up to 20 active members use the full platform free, for good - no card, no feature limit. Above 20 members you pay a flat monthly band by active member count, with every feature included on every band.
