What is rowing membership management software?
Membership management software for a NZ rowing club handles the complete member lifecycle - joining, Rowing NZ affiliation, qualification tracking, squad assignment, dues collection in NZD, and leavers - in a single platform. Generic membership tools like Wild Apricot or ClubExpress cover the basics, but rowing clubs carry obligations those platforms cannot model: Rowing NZ affiliation status per member, swim-test and capsize-certificate records required before on-water access, parental consent and welfare flags for under-18s, regatta eligibility checks that depend on all of the above being current, and the governance record-keeping that the Incorporated Societies Act 2022 requires clubs to maintain - with an April 2026 deadline for constitution updates. Row HQ is built for those exact requirements. See the admin dashboard and member portal that power it.
Why NZ rowing membership is different from a standard club
Generic membership software manages names and payments. Rowing membership software manages the obligations that come with an on-water sport in New Zealand.
Rowing NZ affiliation
Every competing member must hold a valid Rowing NZ affiliation through their regional association (Auckland Rowing Association, Rowing Waikato, Canterbury Rowing Association, Otago Rowing Association, and others). Row HQ tracks status per member and flags anyone whose renewal is lapsing before they appear on a regatta entry.
Water-safety qualifications
Swim-test pass and capsize drill certificate are prerequisites for on-water access at most NZ clubs. Store them against each member profile with expiry dates and automated reminders. Required under the Health and Safety at Work Act 2015.
Squad assignment
Members belong to squads - senior, junior, masters, novice, learn-to-row. Squad membership drives which sessions they see, which coaches contact them, and which boats they can book.
Parental consent for under-18s
Junior members require a parent or guardian contact, medical information, and signed consent. Row HQ stores all three, flags unsigned consents, and blocks juniors from on-water sessions until consent is on file. Critical for school rowing programmes preparing for the Maadi Cup.
Regatta eligibility checks
Before entering a member in the NZ Champs at Karapiro, the North Island Champs, or any regional regatta, their Rowing NZ affiliation and water-safety records must be current. Row HQ cross-checks eligibility when you build a crew list so ineligible athletes surface before entries close.
Incorporated Societies Act 2022 compliance
NZ clubs incorporated under the ISA must adopt Rowing NZ-compliant constitutions - the deadline is April 2026. Row HQ supports the governance record-keeping (membership registers, meeting records, constitutional documentation) that the Registrar of Incorporated Societies requires.
Who uses the membership software?
Three levels of access, all in one platform. Everyone gets the view they need.
Members
Members manage their own profile:
- Update contact details and emergency contacts
- Upload qualification certificates
- Pay membership dues and event entries in NZD
- Check their own Rowing NZ affiliation status
- View their squad and upcoming sessions
Coaches
Coaches see what they need before selecting crews:
- Check which members have current water-safety certs
- See squad rosters with eligibility flags
- Filter availability for a session by squad
- Flag a member as injured or unavailable
- Contact squads directly with in-app notifications
Committee & Membership Secretary
The committee runs membership administration:
- Approve new joiners and assign to squads
- Track Rowing NZ affiliation renewals across all members
- Chase outstanding subs with automated reminders
- Maintain the ISA 2022-compliant membership register
- Export member data for the annual return
Row HQ vs generic membership management platforms
Wild Apricot, Hello Club, and Friendly Manager handle names, payments, and email. They do not understand rowing. Here is what that gap costs you.
Important. Generic membership platforms are not wrong for the jobs they were built for. Row HQ is the layer on top of those basics that NZ rowing clubs specifically need. If your club currently uses Hello Club purely for online payments and email, Row HQ replaces the whole stack - including the Rowing NZ affiliation and water-safety qualification tracking that Hello Club does not model.
Pricing for rowing clubs
Every club gets full membership management - and every other feature. See full pricing.
Clubs with up to 20 active members use everything free, for good - not a trial. Bigger clubs pay a flat monthly band based on active member count, starting at NZ$33/month.
- Every feature on every band
- No transaction fees on member payments
- Annual billing: 2 months free
