The member portal is each rower's personal dashboard. They confirm sessions, update contact details, check the boat schedule, see upcoming events, and pay subs without emailing an admin. Every change syncs back to the central club view, so the committee stops being a postbox for routine updates. For volunteer-run NZ clubs where the secretary already has a full-time job, that matters.

How the rowing club member portal works for members and admins.

A rowing club member portal is the personal online account each member of your club gets, where they update their own contact and emergency-contact details, see their attendance history, book training sessions and boats, manage their notification preferences, and keep qualifications (coxing, water-safety, first aid) up to date. The portal replaces the email-the-secretary cycle every time someone's phone number changes or a new emergency contact is needed. For volunteer-run NZ clubs, the win is that member data stays current without anyone having to chase it - members do the work themselves.

Yes. Every member has a self-service profile where they can change their phone number, email, postal address, emergency contact, GP details, allergies, and any other field the club has configured. Changes are saved instantly and the admin sees an audit trail of who changed what and when. Some clubs allow free-text notes for medical or accessibility needs; others lock specific fields (like membership category) to admin-only edit.

Row HQ is designed to align with the NZ Privacy Act 2020 and its 13 Information Privacy Principles: members can view their personal data, request a copy, and have it deleted when they leave the club. The system records consent for marketing communications separately from operational ones. All personal data is encrypted in transit and at rest, hosted in a UK data centre (London), and access is logged. For clubs that need documentation for their committee minutes or compliance with the Office of the Privacy Commissioner's guidance, we provide a data-processing agreement on request.

No - the member portal works in any web browser, on phone or laptop, with no install required. Most members find it easier to use the progressive-web-app version (which behaves like an installed app once you "Add to Home Screen") for quicker access and faster start-up, but it is not mandatory. We deliberately avoided requiring the App Store or Play Store because rowing clubs include older members who do not always want another app on their phone.

Yes. Each member's portal shows their attendance history across training sessions and races. Coaches can control how much of this data is visible to balance personal motivation against privacy. During Maadi Cup seat-racing season, having objective attendance data in one place - rather than relying on coach memory - makes selection conversations much more straightforward.
