Entries, seatings, race-day swaps and results - how it works in practice.
Post the regatta, collect names, seat the boats, lock entries at the closing date, record the results. Members find each regatta on its own page in the app - closing date, entry fee, the events the club intends to contest - and one tap adds them to the list. From there the coach or club captain does the seating. Nationals at Karapiro, a Maadi campaign, a regional champs or the club's own race day all follow that same five-step path, whether the club sends one crew or a full trailer.
Yes, and that ordering is the point. Interest opens well before entries close, so coaches choose from people who have already committed rather than guessing. In the app a member taps to say they are keen, ticks the events they would race, and can add a line like "away Saturday, fine for Sunday". The seating screen shows those answers live. Nobody has to text around the squad the night before entries close to work out who is actually available.
Regattas the club races every season can be set up in a few clicks and reused year on year. Entries themselves still go through Rowing New Zealand's own channels - Row HQ does not submit on the club's behalf - but the export gives you crews, seats and events in a tidy format to transfer across without retyping. Inside the club you keep a clean record of who raced what, the closing date is never a surprise, and the season report writes itself from real data.
Swaps happen at the lake, so the app expects them. A sub goes in from a phone, and the incoming rower, the cox and anyone else affected are notified within moments. Row HQ keeps the entered crew and the crew that actually raced side by side, with an audit trail of every change - so when an official asks who was in the four for the 9:40 race, the answer takes ten seconds to find. Later results are recorded against the boat as it actually rowed.
Once racing finishes, a coach or the club captain records the outcome for each boat - placing, time, margin, who you raced. Members see their own results build on their profile, the club can publish a public results page if it wants one, and the committee gets the season totals ready for the AGM. Over the years that becomes a real archive: useful for selection, prize-giving, and the annual report. Clubs with their own website can pull it all out as CSV.
