Row HQ runs the full lifecycle: create the regatta in the system, open expressions of interest to members, build crews from the responders, lock entries before the deadline, and record results after racing. Each event has its own page that members see in the app, with the closing date, fee, and which categories the club is entering. Members tap to register interest and the captain or coach takes it from there. The system handles entries for the NZ Rowing Championships, Maadi Cup squads, regional association regattas, and club head races equally well - it is the same workflow whether you are entering one boat or twenty.
Yes - that is the standard workflow. Most NZ clubs open expressions of interest several weeks before the entry deadline so coaches can see who is available before finalising crews. Members see the regatta in their feed, tap "interested", optionally note which categories they want to race, and add any availability caveats. Coaches see the responses live in the crew builder and pick the squad from the people who actually said yes - no chasing round to find out who is in before the RowIT entry deadline.
Row HQ is complementary to RowIT - it handles your internal club operation while RowIT manages the official regatta entry and results system. You create events in Row HQ to coordinate your crew selection and availability, then export the crew data when you submit formally to RowIT. A direct RowIT integration is aspirational and on the roadmap. The export gives you everything needed to enter without manual rekeying.
The crew builder allows last-minute substitutions on race day with a clear audit trail. If a member is ill on race morning, the captain swaps in the reserve from their phone, and everyone affected gets a notification within seconds. The original entry is preserved alongside the actual race-day crew, so you have a definitive record. Substitutions flow into the post-event results so credit goes to the right people.
Yes. After the event, the captain or coach records each crew's result - finishing time, position, head time, opponent. Results appear on each rower's profile and feed into season-end reporting for the AGM. Over time the system builds a results history per member, useful for selection decisions and for the captain's annual report to the Auckland Rowing Association, Canterbury Rowing Association, or whichever regional body your club is affiliated with.
