The short answer

What is rowing club management software?

Rowing club management software runs a club's day to day operations: booking boats so two crews never claim the same eight, scheduling outings and ergs, taking attendance, building crew lineups and collecting subs. Row HQ is rowing club management software built for UK clubs, holding British Rowing numbers, swim tests and capsize drill records in the same member file as the bookings. Free up to 20 active members. Live at Oundle Town Rowing Club since 2025.

Why rowing clubs need more than generic club software

Generic club software was not built with a coxswain on the dock at 6am. Rowing is unusual: most members train as crews, not solo, so attendance only matters when you can pair it to a boat and a seat. A booking conflict can take an entire eight off the water. Selection trials need a lineup builder, not a calendar invite. The work that runs a rowing club - regatta entries, safety checks, coxswain swaps, captain's notes - has no good fit in software designed for tennis or netball.

Generic boat-booking apps fix only the booking layer. Spreadsheets and WhatsApp groups paper over the rest until they break. Row HQ was designed around how a rowing club actually runs: pre-session attendance for the coach, drag-and-drop crews, live boat availability, member portals that match how members engage, and admin dashboards built for the work captains and committees do. See the features in detail.

Built for British Rowing affiliated clubs

Affiliation admin is not an afterthought bolted onto a generic system. It sits in the same member record as everything else.

British Rowing membership on the member record

Membership type, BR number and renewal date live on each member. Filter the roster by status, pull a lapsed-members report before the season starts, and send renewal reminders without exporting to a spreadsheet first.

Water safety and capsize drill records

Swim test dates and capsize drill completion are stored per member and flagged when they expire. A member without a current record is highlighted before a coach can put them in a crew for an open-water outing.

Head races and regatta entries

Build crews for HORR, Fours Head, Schools Head and your own regatta. Run an eligibility check before you enter: active BR membership, current water-safety record, age-group restrictions. Ineligible members are highlighted automatically.

Annual returns without the re-keying

Export a structured member report covering membership type, age group and qualification status, aligned to the fields British Rowing collects.

What we do not claim

British Rowing does not publish a public API, and ClubHub is not open to third-party software. So Row HQ does not sync with ClubHub or BROE2, and nobody else can either. What Row HQ gives you is one place to hold that data alongside your bookings and crews, instead of a second spreadsheet. Automatic federation sync stays on the roadmap until British Rowing opens it up. Read the full detail on British Rowing and Row HQ.

Rowing club management software FAQs

Rowing club management software handles the operational work specific to running a rowing club: outing and erg attendance, boat booking with conflict prevention, crew lineups, member portals, regatta entries, and committee reporting. It differs from generic club software because it understands that members train in crews, that a booking conflict costs an entire eight its outing, and that selection needs a lineup builder rather than a calendar invite. Row HQ is built for UK clubs that were running on spreadsheets and WhatsApp groups.

Row HQ stores British Rowing membership type, number and renewal date on each member record, and flags lapsed members before the season starts. It does not sync automatically with ClubHub or BROE2, because British Rowing does not publish a public API for third-party software. No other club system can do that either. Automatic sync is on our roadmap for the day British Rowing opens it up.
