How does Row HQ manage rowing events and regattas?

Row HQ keeps each head race, regatta and club event in one calendar. Members register interest before the availability deadline, coaches link selected crews, and treasurers track optional entry fees. Venue pins, attached documents, reminders and results stay with the event, so trailer loading and marshalling plans do not disappear into group chats.

Put the date in front of the club

Create the event once with its date, venue pin, availability cut-off and supporting files. Regattas, heads and volunteer days all sit in the same club calendar.

Members register interest and confirm availability before the deadline. The live response list gives captains and coaches a reliable pool before any boat is named.

Row HQ reminds members as the availability cut-off approaches, and replies reach the coach in real time. If the club adds an entry fee, the charges ledger shows the treasurer which entries are paid and which need a chase.

Card and bank-transfer payments appear against the same event charge.

Collect entry fees with the event

Add an optional fee in the club's currency. The charge sits in the club ledger, so event admin and payment follow-up use the same record.

  • Members pay by card through the club's own Stripe account or choose bank transfer.
  • The treasurer can see who has paid without checking a separate entry sheet.
  • Unpaid entries can be chased directly from the payments dashboard.

Practical answers for captains, coaches and committee members planning the racing calendar.

Add the date, response deadline, venue map pin and the information members need before travelling. You can attach the draw, safety notes, marshalling rota, trailer plan or another event document to the same record. The page can cover a regatta, head race, club social or volunteer day, so members do not need to search old emails for the latest version.

Yes. Open the event to expressions of interest and set an availability cut-off. Members respond through their portal, while coaches watch the live list build. Crew planning then starts with people who have confirmed they can attend. The selected crew can be linked back to the event, keeping the response and selection records together.

No. Formal entries still go through the relevant British Rowing process. Row HQ handles the work inside the club before that submission: collecting interest, tracking the deadline, linking crew selections, holding event documents and keeping a record afterwards. This gives the person handling BROE2 one current source instead of several competing sheets.

A club can add an optional event fee in its own currency. Members pay by card through the club's Stripe account or by bank transfer, and the treasurer sees the status in the charges ledger. If a crew changes, coaches update the linked selection while the event page continues to hold the current venue and race-day information.

Yes. Record the outcome against the event once racing is complete. The result becomes part of the club's event history and appears in admin reporting, giving future committees a usable record of participation. It also means next season's planning can start with last year's events still easy to find.
