The short answer

What does Row HQ do for a rowing program?

Row HQ is rowing program management software for US athletic departments, club teams and community programs. It runs the week: shell reservations, practice scheduling, attendance, lineups, and the athlete and parent portals that keep everyone informed. Behind that it holds USRowing membership, SafeSport certification and Title IX participation counts on the same athlete record. Free for programs with up to 20 active members, no card required.

Why a rowing program outgrows team apps

Generic club software was not built with a coach on the dock before dawn. Rowing is unusual: athletes train in lineups, not solo, so practice attendance only matters when you can pair it to a shell and a seat. A reservation conflict can take an entire 8+ off the water. Splitting V8+, 2V8+, JV, and novice across one shell house needs a lineup builder, not a calendar invite. The work that actually runs a US rowing program - regatta entries for HOCR or IRA, USRowing affiliation paperwork, athletic department reporting, Title IX participation tracking - has no good fit in software designed for soccer or basketball.

Generic boat-reservation apps fix only the reservation layer. Google Sheets and GroupMe threads paper over the rest until they break. Row HQ is rowing management software because every screen was built around how a US rowing program actually runs: pre-practice attendance for coaches, drag-and-drop lineups, live shell availability, athlete and parent portals, and admin reports built for AD reviews and Title IX audits. See the features in detail.

Built for USRowing member programs

Membership status, SafeSport certification and Title IX numbers sit in the same athlete record as practice attendance and lineups.

USRowing membership on the athlete record

Membership type, number and expiry live on each athlete. Filter the roster by status and pull a lapsed-membership report before the season opens, rather than cross-checking a spreadsheet against the USRowing portal.

SafeSport and water-safety certifications

Store SafeSport completion dates, swim-test records and coaching certifications per person, with expiry flags. Coaches and volunteers with a lapsed certification are highlighted before they are rostered.

Title IX participation reporting

Participation counts by squad and gender, exportable for the reporting your athletic department already has to file. High school and collegiate programs stop rebuilding this by hand each year.

Regatta eligibility checks

Before you enter a crew, run a check: active USRowing membership, current SafeSport, age-group and class restrictions. Ineligible athletes are flagged automatically.

What we do not claim

Row HQ does not sync automatically with the USRowing membership portal or with RegattaCentral. There is no open partner API available to us for either, so no third-party club system can do it today. What Row HQ gives you is one place to hold membership and certification data alongside your practices, shells and lineups, instead of a second spreadsheet. Rowing program software FAQs

Rowing management software handles the operational work specific to a rowing program: practice attendance, boat reservations with conflict prevention, lineup building, athlete and parent portals, regatta entries, and athletic department reporting. It differs from generic club software because it understands that athletes train in lineups, that shell conflicts cost an entire 8+ off the water, and that splitting varsity, JV, and novice across one shell house needs a lineup builder rather than a calendar invite. Row HQ is rowing club management software built for programs running on Google Sheets, GroupMe, and clipboard sign-ins.

Most programs go live within a day. We handle the data migration from spreadsheets, GroupMe rosters, and SIS exports.

We import it for you. Google Sheets, athlete rosters, shell inventories, dues records - send it over and we will get it into the system.

Yes. Set different permissions, practice schedules, and shell access per squad. The athletic department gets a program-wide view.

It checks shell availability before confirming. Per-squad access rules stop novice taking varsity shells, and double-bookings are blocked at the database level.

Yes. Programs with parent visibility requirements, AD reporting, and Title IX participation tracking are first-class citizens. See the schools page for details.

Yes. Parents get their own role tied to their athlete. They see practice schedules, regatta entries, lineup assignments, and trip details for their athlete only.

Programs take card payments from members through their own Stripe account - Row HQ adds no platform fee, only Stripe's standard card processing fees apply. Bank transfer tracking is built in, and athletic department billing flows are supported for school programs.

Founder-led email support from the UK (overnight responses for US athletic departments - your morning starts with answers), plus documentation and video tutorials. Every program gets a video onboarding session.

Yes. It is fully responsive and works in any phone browser. Athletes can add it to their home screen for quick access.

TLS 1.3 in transit, AES-256 at rest, daily backups, UK-based servers (London), role-based access. CCPA / CPRA athlete rights honoured. We never share program data with third parties.
