Regatta plans that travel
Coordinate athletes, lineups and away-regatta logistics without passing another spreadsheet between coaches, parents and volunteers.
How can a rowing program organize regattas in Row HQ?
Row HQ gives juniors, collegiate squads and masters programs one schedule for racing and team events. Athletes submit availability, coaches connect lineups, and administrators monitor optional entry charges. Course pins, travel files, chaperone notes, reminders and final results remain attached to the event, giving everyone the same plan before the trailer pulls out.
The events feature is available across Row HQ. Review member bands in your currency on the pricing page.
Build the trip around one record
Each step stays connected, even when a regatta involves athletes, families, chaperones and several coaches.
Publish
Post the regatta and travel brief
Add the race date, course pin, response cutoff and files your group will need. The calendar can also carry volunteer shifts, a fundraiser or the post-regatta potluck.
Upload the travel itinerary, packing list or chaperone instructions once.
Confirm
Get a firm athlete count
Athletes mark interest and availability in their portal before the cutoff. Coaches can see the roster change as replies arrive instead of relying on a parent email chain.
Junior, collegiate and masters groups can use the same response flow.
Line up
Tie lineups to the regatta
Coaches work from confirmed availability when they settle boats. Linking the event and selection gives athletes a consistent view of where they have been placed.
The event remains connected to the lineup record for the season review.
Follow up
Close the gaps before departure
Automatic reminders bring the response deadline back to an athlete's attention. When an entry charge is used, staff can follow paid and unpaid names in the same admin area.
The charges ledger accepts card status and bank-transfer status for the event.
Archive
Turn race day into program history
Enter the result after the trailer returns. Admin reports then preserve participation and event history for the next coach or season.
Past regattas stay available when next year's travel calendar is drafted.
Trade the handoffs for one live plan

The patchwork approach
- RegattaCentral dates retyped into personal reminders
- Athlete availability buried in parent and coach messages
- Lineups, travel and payments kept in different spreadsheets
- Volunteer and chaperone details forwarded as attachments
- Race outcomes lost after the final team email
The Row HQ approach
- A team calendar with one visible response cutoff
- Athletes confirm interest from the mobile portal
- Lineup selection and optional entry charges stay linked
- Course directions and trip documents follow the event
- Admin reports retain results and participation history
Built for racing and program events
Use the same workflow for an away race, a home scrimmage, volunteer sign-ups or a fundraiser. The screen gallery shows the product itself.
Team Event Schedule
Put sprint races, head races, travel days, potlucks and fundraisers on a shared program calendar.
Response Cutoffs
Give athletes a firm date to answer and send reminders before entry planning closes.
Athlete Availability
Collect a yes or no in the portal and stop estimating numbers from a noisy group chat.
Connected Lineups
Take confirmed athletes into coaching tools, coordinate with the practice schedule, and share selections in the athlete portal.
Course and Travel Details
Keep the course pin, bus or carpool notes, parking guidance and document attachments together.
Program Race Archive
Save outcomes after racing and use the program dashboard to review turnout across the season.
Entry charges
Match each fee to its regatta
An administrator can place an optional charge on the event in the program's currency. That charge is recorded in the ledger beside the rest of the regatta work.
- Families or athletes can pay by card through the program's Stripe account or select bank transfer.
- Staff see each payment status without reconciling another registration file.
- Outstanding charges can be followed up from the payments dashboard.
Athletes carry the schedule
The event appears in the same phone calendar used by the program, with the latest date, location and response request ready before travel.

Regatta planning questions from US programs
Straight answers for coaches, administrators, athletes and the families helping with travel.
Post the race date, response cutoff and a map pin for the course. Add travel notes, parking instructions, chaperone information, a packing list or another useful file. The calendar is not limited to races, so a juniors program can also schedule volunteer shifts, a boat-unloading time, a fundraiser or the team potluck in the same place.
Yes. Athletes respond in their portal before the program cutoff. Coaches see those answers as they come in and can begin selection with a confirmed group. When boats are settled, the lineup record connects back to the regatta. This works for a youth squad, a collegiate roster or a masters group without changing the process.
No. The official submission remains in RegattaCentral or the organizer's chosen entry service. Row HQ organizes the internal work that comes first: athlete responses, deadlines, lineup links, files and optional fees. A coach or administrator can then use one current club record while completing the external entry, instead of comparing several versions.
Programs may add an optional fee in their own currency. Payment can arrive by card through the program's Stripe account or by bank transfer, with status recorded in the charges ledger. A coach can update the linked lineup when plans change, while families and athletes still find the latest event details in the portal.
Record the outcome on the event once racing ends. Row HQ keeps it in the program history and includes it in admin reports, so participation does not vanish when a coach leaves or the season changes. The stored event also gives next year's staff a useful starting point for the travel calendar.
