How does rowing club software work for junior rowers and parents?

Rowing club software should give each guardian a separate account linked to one or more junior rowers. The parent can manage consent, emergency contacts, payments and session replies without using the child's login. Junior direct messages stay restricted to coaches and club leads, with reporting, moderation and staff supervision built into the chat system.

Guardian accounts and junior safeguards are included in every band. Clubs with up to 20 active members use Row HQ free. See the pricing bands for larger clubs.

The junior profile holds contact details, at least one emergency contact, consent records, and swim and tread-water declarations. A guardian can update the child's profile from the family area.

A guardian pays the child's charges using the club's normal options. Card payments use the club's own Stripe account. Treasurers can also record bank transfers.

Club mail addressed to a junior reroutes to their guardians. Session changes, event invitations, payment notices and club updates reach the adult responsible for acting on them.

The club writes once. Row HQ routes the notice to the linked guardian accounts.

Swim and tread-water declarations sit on the member profile, ready for authorised club staff to check.

Membership card view

When the club enables digital membership cards, the guardian can view the child's card from their account.

Terms that stay current

Club terms and privacy pages are versioned. Members are asked to accept them again after the club changes a version.

Reporting and oversight

Chat includes reporting and moderation. Access is audited, and member blocking never removes the club's oversight.

No. A parent or carer gets a separate guardian account linked to one or more junior members. From the family area, the guardian can answer session and event invitations, pay charges, update the child's profile and emergency contacts, and manage consents. The child's login remains separate.

No. Guardian accounts do not have access to chat. Direct messages to junior members are restricted to coaches and club leads, so other members cannot DM a junior. Club staff provide oversight through settings, reporting and moderation, and access to junior conversations is audited. This protects junior privacy without removing club oversight.

Mail addressed to a junior member reroutes to the linked guardians. The club can send its normal notice to the member record, while Row HQ makes sure it lands with the parent or carer responsible for the reply, payment or updated detail.
