How should rowing software connect a junior member with their guardian?

The system should create a distinct guardian login and associate it with each junior in the family. Parents can complete event responses, pay club charges, update contacts, and manage consent. The junior keeps separate credentials. Direct messaging is reserved for coaches and club leads, with staff-controlled settings, moderation, reporting, and audited conversation access.

Junior features and guardian access are standard in every Row HQ band. Clubs at 20 active members or below pay nothing. Use the Canadian pricing guide for a larger active roster.

Profile details, emergency contacts, consent, and swim and tread-water declarations stay on one member record. The associated guardian can correct the family-managed fields.

This is a membership record. Medical data, health paperwork, and allergy information are deliberately excluded.

Authorised leaders work with the complete member list. A guardian account displays only its connected juniors and can include children in different program groups.

Clubs may invite a young rower by contacting the guardian, and adults may register directly as guardians.

Messages sent against a junior membership record are rerouted to the linked guardians. Event reminders and schedule changes land in the right family inbox.

Staff address the junior once, while Row HQ handles guardian delivery.

Coaches and club leads can message juniors directly. Regular members cannot. Clubs decide how junior chat is configured and supervised.

Consent status

Guardians update consent in their family view. Club personnel with permission see the current status on the member file.

Emergency information

Every member requires at least one emergency contact. The connected guardian may update the junior's contact entry.

Swimming declarations

Swim and tread-water declarations form part of the profile available to authorised staff.

Family card view

If digital membership cards are active, guardians can display cards for their connected children.

Updated terms acceptance

Terms and privacy pages keep a version history. Members are asked to accept a club's revised version when it changes.

Recorded staff oversight

Reporting and moderation are part of chat. Access is audited, and a block cannot remove staff supervision.

Guardian and junior program questions

Details for club directors, coaches, volunteers, and Canadian rowing families.

No. The caregiver owns a separate guardian account associated with one or more junior members. Family tools let that adult answer practice and event requests, pay charges, edit the child's profile and emergency contacts, and manage consent. Junior credentials are never shared.

No. Guardians receive no chat access. Junior DMs are limited to coaches and club leads, so standard members cannot DM a junior. Authorised staff maintain oversight with club-controlled settings, moderation, reporting, and audited access. This keeps guardian access separate from conversation supervision.

A club email addressed through a junior record is rerouted toward that member's linked guardians. The responsible adult receives schedule changes, event information, or account notices without requiring staff to maintain a second distribution list.

They use the payment choices provided by the club. Card payments go into the club's connected Stripe account. Bank transfers can be recorded by the treasurer in the same ledger. Row HQ applies no platform fee.
