Bring parents into club admin without sharing accounts.
Guardians have their own Row HQ login, joined to the junior members in their family. They look after outings, charges and records. The club retains responsibility for supervising communication with young rowers.
What access should parents have in a rowing club system?
Parents should receive an individual guardian account connected to their junior members. It lets them answer training and event invitations, pay charges, keep emergency contacts correct and manage consent. They never need the young rower's login. Junior DMs remain limited to coaches and club leads, with club settings, reports, moderation and audited staff access supporting oversight.
All Row HQ bands include the guardian area and junior chat safeguards. Clubs at no more than 20 active members use it free. See the Irish pricing bands as the membership grows.
One link between the family and junior section
Parents take care of household information. Coaches and committee members use the club roster and communication controls.
Junior membership
Keep the useful details together
Contact information, an emergency person, consent, and swim and tread-water declarations sit on the young member's profile. The linked guardian can keep family fields accurate.
The page shown is a member record. Row HQ intentionally avoids medical details, allergy lists and health paperwork.
Junior section list
Show staff the full picture
Authorised club staff can work from the complete membership roster. Guardians only see their linked juniors, with several children allowed on a single adult login.
The club can invite a junior by way of the guardian, and parents may also register using the guardian path.
Pay the charge
Give the bill to the right person
The guardian pays a child's charge through the choices offered by the club. Cards use the club's Stripe account, while treasurers may record payments received by bank transfer.
Row HQ takes no additional platform fee.
Reach the household
Reroute junior notices to adults
Club email addressed to a young member goes to their connected guardians. Training information and event reminders arrive with the person expected to act.
The club uses one member record. Row HQ handles delivery to the right family accounts.
Move the junior section beyond paper and group messages
Community clubs need a dependable boundary between family access and staff safeguarding duties.
Family jobs split apart
- Consent forms kept away from membership information
- Outing replies collected in crowded parent chats
- Cash passed to the treasurer without a shared ledger
- Adults signing in through a junior profile
- Messaging rules understood differently by each person
Club and guardian roles defined
- A distinct guardian account connected to each child
- Family replies, charges and consents kept together
- Mail for juniors redirected to responsible adults
- Junior DMs restricted to coaches and club leads
- Staff reports, moderation and audited access to conversations
Practical safeguards for a junior club section
The family gets the tools needed for daily administration. Chat remains private from guardians and overseen by permitted club staff.
Guardian-owned profile
A parent or carer has separate credentials joined to one or more juniors, rather than borrowing the child's access.
Junior direct-message rules
Only coaches and club leads may DM a junior. Other members are blocked from doing so, and the club selects the settings.
Consent tracking
Parents manage consent in the family area. Its current state remains visible on the junior membership record.
Emergency details
Every profile must contain at least one emergency contact, editable by a connected guardian for their junior.
Swim information
Swimming and tread-water declarations are held on the profile for authorised staff to review.
Guardian membership card
Where a club enables digital cards, a parent can display the linked junior's card from the guardian view.
Versioned club documents
Changes to terms or privacy text create a new version and ask members to accept that version again.
Club-led supervision
Chat offers moderation and reporting, while conversation access is audited. Blocking never reduces the club's oversight.

Parent access and junior safeguarding FAQs
Clear answers for club officers, safeguarding leads, coaches and families.
Yes. Each parent or carer uses a personal account linked to one or more junior members. The family area lets them answer training and event invitations, pay a child's charges, edit the junior profile and emergency contacts, and manage consent. The young member's access is kept separate.
No. A guardian account has no chat access. Junior direct messages are restricted to coaches and club leads, so other members cannot send one. Club staff retain oversight through their settings, reporting, moderation and audited access. Conversations stay private from guardians while authorised staff supervise them.
Row HQ reroutes it to the guardians linked with that young member. The club can prepare an outing update, event reminder or payment notice against the junior record. The responsible adult receives it without staff building another contact list.
Guardians use the club's usual payment choices. A card payment passes through the club's own Stripe account. Bank transfers can be marked as received by the treasurer. Row HQ does not add a platform fee.
The linked adult may update the child's profile, maintain at least one emergency contact, and manage consent. Swim and tread-water declarations also live on that member record. Row HQ deliberately does not gather medical or health records, allergy information, or health forms.
Yes. One guardian profile can be linked to multiple young members. The club may invite each junior through the parent, or an adult may register as a guardian first. That family area then supports the required actions for every linked child.
The club does. Direct messages are limited to coaches and club leads. Reporting, moderation and audited access support club oversight. Blocking another member never weakens that oversight. Parents still cannot view chat because authorised club staff hold the safeguarding responsibility.
Yes, if the club turns digital membership cards on. The guardian view includes the linked child's card. It is opened through the adult's own Row HQ account.
