Row HQ for Rowing Australia-Affiliated Clubs

Row HQ is built for clubs affiliated to Rowing Australia and the state associations. Member records hold RA affiliation status, water-safety qualifications, and regatta eligibility data - alongside the booking, crew selection, and training session tools your club uses every day.

What does "Rowing Australia integration" mean in practice?

Rowing Australia and the state associations (Rowing NSW, Rowing Victoria, Rowing Queensland, and others) do not publish public APIs for external software to read or write membership data automatically. What Row HQ does is give your club administrators a dedicated place to record and verify each member's RA affiliation status, membership number, and water-safety qualifications - so that information lives in the same system as boat bookings, crew lineups, and training sessions. Admins can run reports of lapsed RA members, check regatta eligibility before King's Cup or Head of the Yarra entries, and export structured reports that reduce manual re-entry into RA's own systems. Automated federation data sync with the RA RMS is on the roadmap; it requires RA to open a partner API.

What Row HQ does now for Rowing Australia-affiliated clubs

The following features are live and in use by RA-affiliated clubs today.

RA membership status fields

Each member record holds RA membership type (Club Athlete, Community Rower, Masters, Junior, Coach), membership number, state association, and renewal date. Admins filter the member list by status and export lapsed-member reports.

Water-safety qualifications

Store swim-competency date, capsize-drill completion, and Bronze Medallion or equivalent certificates per member. The system flags members with lapsed qualifications before they can be added to a crew for open-water sessions.

Regatta eligibility checks

Before submitting King's Cup, Head of the Yarra, or state regatta crews, coaches run an eligibility check: current RA membership, water-safety cert, age-group eligibility, and any lightweight category restrictions.

Regatta and event management

Build events for Head of the Yarra, Riverview Gold Cup, GPS/AGSV/CAS school regattas, and RA championships. Manage crew sheets, payment collection, and waitlists. Crew sheets export to the format needed for official submission.

RA returns data preparation

When preparing your state association annual return, export a structured member report covering membership type, age group, and qualification status. The format aligns with the fields RA and state bodies collect, reducing re-entry.

Renewal reminders

Automated email and in-app reminders go out to members whose RA membership is approaching expiry. Members renew directly with Rowing Australia; admins update their status in the Row HQ portal.

Planned federation integrations (roadmap)

The following are on the roadmap and require Rowing Australia or state bodies to open API access. We are transparent about what is not built yet.

RA RMS API sync

Roadmap - pending RA API

Direct read from the Rowing Australia Registration Management System so member affiliation updates automatically without manual entry. Requires RA to publish a partner API - not available as of May 2026.

Regatta entry submission (RA events)

Roadmap - pending RA entry API

Submitting entries directly from Row HQ into RA's online entry system. Currently Row HQ helps prepare crews and check eligibility; entry submission still happens in the RA portal.

Concept2 Logbook API integration

Roadmap

Importing Concept2 erg results from the Logbook API to populate athlete performance records inside Row HQ. Concept2 Logbook has a public API; integration is planned for a future release.

Xero / MYOB integration for club accounts

Roadmap

Exporting membership fee and event payment data directly to Xero or MYOB for club treasurer workflows. Currently dues data can be exported as CSV for import into accounting packages.

Does Row HQ directly connect to Rowing Australia's RMS?

Not yet. The RA Registration Management System does not publish a public API for external software. Row HQ gives you structured fields to record and report on RA membership data, but sync is manual until RA opens API access.

Can I submit King's Cup or Head of the Yarra entries from Row HQ?

Not directly. Row HQ helps you build your M8+/W8+ crews, check eligibility, and export crew sheets. The actual entry submission still happens through the event's own registration portal.

Does Row HQ work for school rowing programs in the GPS and AGSV competitions?

Yes. Multi-squad programs with senior, intermediate, and junior squads are a core use case. The schools page covers the junior welfare, parent-portal, and bursar-billing features most school programs need.

We use a mix of club hulls and school-owned boats - can Row HQ handle that?

Yes. Each hull in the fleet has its own access rules. School-owned boats can be restricted to specific squads; club hulls can be open to members meeting certain qualifications.

What water-safety records does Row HQ store for Australian regulations?

Per member: swim-competency date, capsize-drill date, Bronze Medallion (or equivalent certificate name and date), and any additional coaching or rescue qualifications. Expiry alerts are configurable by the club admin.
