Rowing club admin software
Member database, attendance stats, fleet tracking, and financial reports. Everything your committee needs, replacing scattered spreadsheets.
What does the Row HQ admin dashboard do?
The admin dashboard is where the committee runs the club. One screen shows membership numbers, attendance trends, fleet utilisation, outstanding subs, and upcoming regatta entries. Drill into any figure to see the underlying members or sessions, export reports to CSV, and set automated reminders so chasing payments and renewals stops eating committee time.

Which KPIs does the rowing club admin dashboard track?
A snapshot of the key metrics committee members see at a glance, what each one tells you, and where the data comes from.
| KPI | What it tracks | Where it sources from |
|---|---|---|
| Member retention rate | Percentage of last season's members who renewed for the new season | Subscription renewals processed via the member portal and Stripe |
| Session fill rate | Average attendance vs available spaces across all training sessions | Training session sign-ups and attendance marks from coaches |
| Payment collection rate | Percentage of subs and fees paid on time vs outstanding | Stripe payments, manual payment records, automated reminder cycle |
| Fleet utilisation | Hours each boat is on the water vs idle, plus damage flag count | Boat booking records and damage reports submitted by members |
| Training adherence | How consistently squad members attend their committed sessions | Attendance log per member across the rolling 12-week window |
Example KPIs and data sources. Actual figures depend on your club's configuration and history.

Rowing club admin software FAQs
How committee members and admins use the Row HQ dashboard.
Rowing club admin software is the back-office system that handles everything a captain, secretary, or treasurer used to do in spreadsheets and email - membership records, subs collection, attendance reporting, fleet utilisation, regatta entries, Rowing Ireland affiliation returns, and committee dashboards. Row HQ rolls all of that into a single admin dashboard where committee members log in, see the metrics that matter, and run the reports they need without touching a spreadsheet. It is built around the way Irish rowing clubs actually run, not adapted from a generic membership product.
The admin dashboard tracks member retention by category, training session attendance and fill rate, subs payment status, fleet utilisation per boat, regatta entries and results, qualification expiries (water-safety, first aid, Garda vetting renewal dates), and revenue versus expenses against the club budget. Each metric drills into the underlying records, so a "subs outstanding" figure on the home screen takes one tap to reveal the actual list of members who owe money. The dashboard refreshes in real time as members confirm sessions, pay subs, or update their profiles.
Yes. The system generates affiliation return data and member lists in a format you can use directly for Rowing Ireland submissions - so a committee member can run the export, download the file, and drop it into the Rowing Ireland portal in a few minutes rather than the usual hour of reformatting. The exports cover member counts by category, age and gender breakdowns, under-18 safeguarding flags, Garda vetting status, and qualification holders. Custom CSV exports are also available for committee meetings and AGM packs - membership trends, fleet utilisation, financials - ready in a couple of clicks.
Yes - in a useful, conservative way. The dashboard projects monthly subs revenue based on current active members and their billing cycles, plus expected new joiners from the trial pipeline. It flags renewal risk (members who have stopped training and are likely to lapse) so committees can reach out before someone leaves quietly. It does not replace Xero or a spreadsheet for proper accounting - we leave that to the tools built for it - but it gives the treasurer a credible view of the next quarter's income, which is enough for budget planning and the AGM cashflow forecast.
The system tracks each member's subscription period and sends a renewal reminder a configurable number of days before expiry (default: 30, 14, and 3 days out). The first reminder is friendly ("subs are due soon, here is your renewal link"); later ones escalate. If the member does not renew by the cut-off, the system automatically marks them inactive (they lose app access) and the admin sees an alert. Members can pay directly from the renewal email via Stripe card payment or SEPA Direct Debit instructions - the choice is per-club. No more membership secretary chasing dozens of subs by hand at the start of the season.
