How the rowing club member portal works for members and committee members.
A rowing club member portal is the personal online account each member of your club gets, where they update their own contact and emergency-contact details, see their attendance history, book training sessions and boats, manage their notification preferences, and keep their qualifications (cox certificates, water-safety, first aid) up to date. The portal replaces the email-the-secretary cycle every time someone's phone number changes or a new emergency contact is needed. For committee members, the benefit is that member data stays current without anyone having to chase it - the members do the work themselves, on their own time.
Yes. Every member has a self-service profile where they can change their phone number, email, address, emergency contact, GP details, allergies, and any other field the club has set up. Changes are saved instantly and the admin sees an audit trail of who changed what and when. Some clubs allow free-text notes (for medical info or accessibility needs); some lock specific fields (like the membership category) to admin-only edit. The default rule of thumb: anything personal to the member, the member edits; anything that affects billing or eligibility, the admin edits.
Row HQ is designed around GDPR principles as enacted in Ireland through the Data Protection Act 2018. Members own their personal data, can export it on request, and can close their account when they leave the club. The system records consent for marketing communications separately from operational ones (so a member can stay on the safety-notification list while opting out of fundraising emails). All personal data is encrypted in transit and at rest, and access is logged so committee members can demonstrate compliance to the Data Protection Commission if asked.
No - the member portal works in any web browser, on phone or laptop, with no installation required. Most members find it easier to use the progressive-web-app version (which behaves like a native app once you tap "Add to Home Screen") for quicker access and faster start-up, but it is not mandatory. We deliberately avoided forcing the App Store or Play Store route because Irish rowing clubs have members of all ages who do not always want another app on their phone. The PWA approach gives a native-feel experience without the install friction.
Yes. Each member's portal shows their attendance history across training sessions and regattas - how many outings they have completed this season, what type (water/erg/circuits), which sessions they missed, and trends over time. Coaches can choose how much of this is visible (for example "show your own attendance, but not other members'") to balance personal motivation against privacy. Members often find the history a useful prompt during a quieter period, and it is invaluable when discussing crew selection for the Irish Championships because everyone is working off the same data.
