Rowing club member portal

Members run their own profile, check the schedule, mark training session attendance, and book boats. Straight from their phone.

Keep contact details and account settings in one place.

What does the Row HQ member portal do?

The member portal is each rower's own dashboard. They confirm sessions, keep their contact details current, check the boat schedule, see the regatta calendar, and settle dues by Interac e-Transfer or card without emailing the club. Every edit flows back to the central club view, so your executive stops acting as a message relay for routine requests - whether you row out of Argonaut RC in Toronto, Leander in Hamilton, or a smaller crew building toward the Royal Canadian Henley in St. Catharines.

Member portal FAQs

How the rowing club member portal works for members and admins.

A rowing club member portal is the personal online account each member holds, where they keep their own contact and emergency-contact details current, review their attendance, book training sessions and boats, set their notification preferences, and maintain qualifications such as sweep endorsements, water-safety cards, and first aid. It ends the message-the-registrar loop every time a phone number changes or a new emergency contact needs recording. For your executive, member data stays accurate without anyone chasing it - members handle their own updates, on their own time. That holds whether you carry 30 members through a long winter erg season or field a full senior programme heading to the Royal Canadian Henley.

Yes. Every member has a self-service profile covering their phone number, email, mailing address, emergency contact, medical notes, allergies, and any other field the club adds. Edits save right away and the admin sees an audit trail of who changed what and when. Some clubs open free-text notes for medical or accessibility needs; others lock fields such as the membership category to admin-only editing. The line is simple: anything personal to the member, the member edits; anything tied to dues or eligibility, the executive edits.

Row HQ is built on PIPEDA principles - Canada's federal private-sector privacy law - and aligned with provincial regimes including Quebec's Law 25. Members own their personal data, can export it on request, and can close their account when they leave the club. Consent for marketing messages is recorded separately from operational ones, so a member can stay on the safety-notification list while opting out of fundraising email. Commercial electronic messages go only to members who gave CASL-aligned consent at sign-up. Personal data is encrypted in transit and at rest and held in a UK data centre in London under PIPEDA cross-border safeguards, access is logged, and we supply a data-processing agreement on request for boards that need one on record.

No. The member portal runs in any web browser, on a phone or a laptop, with nothing to install. Most members do tap "Add to Home Screen" for the progressive-web-app version because it opens quickly and behaves like an installed app, but that is optional. We deliberately stayed off the App Store and Play Store route, because every club has members who will not add another app to their phone. The payoff is a native-feel experience that never sends anyone hunting through a store first.

Yes. Each member's portal shows their attendance across training sessions and races - how many sessions this season, split by type (water, erg, circuits), which ones they missed, and the trend over time. Coaches set how much is visible - "show your own record, not other members'" - to weigh motivation against privacy. Members lean on the history through the long stretches, from erg blocks in the depth of winter to the spring water build and the autumn head-race season. It also keeps crew-selection talk grounded, since everyone works from the same record rather than competing memories.
