Bring Your Canadian Rowing Club Onto Row HQ
A step-by-step launch plan for clubs across Canada - senior crews, masters, junior development, and university programs, all managed from one place.
Set Up Your Club FreeWhat does it take to launch Row HQ at a Canadian club?
There are two ways in. Set it up yourself: register at app.rowhq.app/register, paste your member list from a spreadsheet, log your boats, lay out your weekly water and erg timetable, then send invites to coaches and committee in one go. Smaller clubs - think Victoria City RC or Ottawa RC - are usually taking sign-ups inside two or three days. Prefer help: book a half-hour walkthrough and we handle the build for you, white-label branding included so the app carries your club crest and colours. Free for clubs of up to 20 active members, and you can leave your WhatsApp groups switched on while everyone settles into the new tool. No card needed to begin.
What You Get
From day one you run the whole feature set with nothing locked off. Add every member on your books, register each shell in the bay, fill the calendar with water outings and erg sessions, and post as many regattas as the season brings. Free for good for clubs of up to 20 active members - the full product, no card. Above 20, the pricing page lays out the fair monthly CAD bands, including how GST or HST applies.
The setup legwork is on us - we lift your roster out of spreadsheets, old WhatsApp chats, and your last Rowing Canada Aviron registration, then sit with your coaches and committee to show them around. Stuck with Excel tabs and group messages? The Row HQ versus spreadsheets breakdown spells out exactly what changes.

Rollout Plan
Six stages take you from a first conversation to a club running entirely on Row HQ. We time it to the Canadian season - schools tend to come aboard before the September term, senior clubs switch over once the spring sprint regattas finish, and university crews join as the fall term begins.
First Conversation
Stage OneWe talk through how your club is structured - where senior, masters, and novice crews sit next to any junior or school program, what your committee and Rowing Canada Aviron paperwork involves, and which jobs eat the most volunteer time. A live tour of the platform comes with it.
Roster Transfer
Stage TwoHand us your membership list in whatever shape it is in - a spreadsheet, a WhatsApp roster, or your latest RCA registration export. It all comes in through an encrypted upload portal with PIPEDA consent capture built into the process. From there, invitations go out in bulk to members, coaches, and parents.
Club Build
Stage ThreeWe configure your crews (senior, masters, novice, junior development, school stream), record every shell on the rack, and set the water and gym timetables. Dues collection runs through Stripe in Canadian dollars, and we build out the committee oversight view plus the Rowing Canada Aviron return formats your registrar files.
Coach and Committee Sessions
Stage FourWorking time with the people who will run it day to day. Coaches practise with the crew builder - eights, fours, and small boats - while committee members get comfortable with membership reporting, dues reconciliation, and pulling together a Royal Canadian Henley travel list or a Rowing Ontario qualifier entry.
Members Get Access
Stage FiveThe whole membership comes online. Training schedules, crew sheets, and updates all show up for every rower when they log in. We stay close while newer rowers and masters sign in for the first time, so nobody has to chase a coach to find out which seat they are in.
Season Support
Stage SixWe check in across the calendar - through the fall head races, into winter erg testing on the machines, and right through the spring and summer sprint season. Royal Canadian Henley week, CSSRA championship prep, U SPORTS travel, and the clock change that throws off every dawn outing are all on our radar.
Rower View
Rowers handle everything from the member portal in their pocket - shaped around real Canadian club life, from dark 5am dock launches in April to sorting trailer logistics for the Royal Canadian Henley.
- Tap once to confirm a training session, with cold-snap cancellations, ice-out delays in spring, and short-notice dock swaps all flagged clearly
- Check your boat, your seat, and who else is in the crew - eight, quad, double, or single
- Reserve a shell or an erg on a live club calendar, with each squad given its own booking access
- Keep a personal record of attendance, split times, and 2k progress through the season
- See updates when an outing moves, regatta plans firm up, or a trailer departure time is set - waiting for you when you log in
- Enter regattas straight from the app - the Royal Canadian Henley, Rowing Ontario fixtures, club sprints, and invitational head races
The club in one app - browse more of the interface in the screenshot gallery.
Rowers find it refreshingly easy
"I used to flip through three WhatsApp chats before a 5am alarm just to learn the outing was off. Now the call, the crew sheet, and the regatta travel notes are all in the same app." - More from rowers in the testimonials.
Coach View
Coaches pick up genuine tools for planning outings, choosing crews, and keeping squads in the loop - so the minutes once lost reshuffling boats at the dock go straight back into coaching.
- Drag-and-drop crew builder covering eights, fours, quads, doubles, pairs, and singles
- Store crew templates and bring them back across outings, regatta blocks, and selection weekends
- Spin up training sessions from saved templates - on the water, on the erg, in the gym, or cross-training
- A live attendance and confirmation board before the boats go out, with the weather call shown alongside
- Follow each rower through attendance figures, split times, and 2k erg gains
- Message a full squad, one rower, or the parents directly without leaving the app
Pick eights, fours, and small boats by dragging rowers into seats
Coaching hours handed back
"Selecting crews used to mean an hour of WhatsApp back-and-forth. It is a five-minute job now. I set the boats on the drive home from the boathouse and the rowers see them before I have parked."
Committee View
Registrars, club presidents, and committee members get the full picture through the admin dashboard - the membership counts, dues position, and figures your AGM and Rowing Canada Aviron returns ask for.
- A member list you can filter and look up by crew, age group, or membership category
- Dues and levy reconciliation showing who has paid, by Stripe or card, all in CAD
- Per-boat shell records covering inventory, rigging notes, and maintenance dates
- Club-wide attendance, regatta entry counts, and RCA return data ready to export
- Targeted announcement broadcasts - senior, masters, novice, junior, or every member at once
- Permissions by role for coaches, members, parents, school staff, and committee

Dues squared away, Sundays returned
"Sunday nights used to vanish into membership spreadsheets and texts chasing late dues. The platform keeps itself current now, and the RCA return numbers drop out of the dashboard in a couple of clicks."
Privacy and Hosting
When members and parents share their personal details, they are trusting the club to handle them properly. Here is how we hold up that trust - the security page goes into the full detail.
Built Around PIPEDA
Personal data is handled in line with PIPEDA, Canada's federal privacy law. Consent is captured at the point a member signs up, and email communications follow CASL with a clear opt-out on every message.
Encrypted Transfers
Uploads and every data transfer travel over TLS 1.3. Member records, dues, and attendance logs stay encrypted both while stored and while moving.
Portable on Request
Export your member roster, attendance trail, and committee reports whenever you want, in clean, standard file formats. If the club moves on, the data moves with it.
Secure Hosting
The platform runs on tier-one hosting infrastructure with backups taken every night and a 99.9% uptime commitment.
